The Challenge
A pediatric clinical services group had a mandatory requirement for all physicians to maintain current Basic and Advanced Life Support certifications. The requirement was clear. The process for tracking and reporting compliance was not.
Each division maintained its own informal records, external certifications were not consistently uploaded to the Learning Management System, and no standardized workflow existed for verifying compliance status. The result was regulatory exposure and limited leadership visibility into clinical readiness.
The Approach
A multidisciplinary team conducted a detailed review of existing policies, training requirements, and documentation practices. The improvement initiative introduced:
- Baseline data compiled from multiple systems including the LMS, HR reporting tools, and Medical Workforce files to build a complete picture of the compliance landscape
- A centralized database built in Microsoft Access, mapping each staff member to their specific training requirement and certification status
- Process mapping, Pareto charts, and root cause analysis to identify non-value-added tasks and inconsistencies across the system
- The life support training policy updated and standardized documentation workflows introduced
- Clear data ownership assigned to ensure the system remained accurate and current going forward
The Outcome
Basic Life Support reporting increased from 0 percent to an average of 63 percent across the group, with Orthopedics surpassing 86 percent. Advanced Life Support reporting rose from 0 percent to 71 percent, with three specialties reaching 80 percent or above.
The project transformed a governance vulnerability into a reliable, monitored system that gives leadership real visibility into clinical readiness.
